We have an immediate need for an Operations & Maintenance (O&M) Senior Project Administrator in Westborough, MA.

The O&M Senior Project Administrator will receive general direction from the Manager of Administration O&M also based out of the Westborough office. The role supports the needs of the entire O&M department. As an O&M Senior Project Administrator, you will have a great deal of interaction with our Customers, the O&M team, and other NORESCO departments. Therefore, it is of utmost importance to possess good listening, communication, and computer skills. The O&M Senior Project Administrators support the implementation processes and documentation of the projects therefore technical skills and adaptability are critical to this position. O&M Senior Project Administrators are vital support members of the entire O&M team. At NORESCO, teamwork is essential, as every person on our team plays an important role in the successful completion of every project.

Responsibilities for this O&M Senior Project Administrator position include:

  • Assisting the Manager – Administration O&M with monthly reporting, communications, and follow-up with project staff

  • Support and take ownership of project administration and documentation functions, such as:

  • Prepare, modify and distribute monthly and yearly financial analysis reports, including contract progress tracking for reporting purposes

  • Investigate and/or correct discrepancies within revenue/cost figures

  • Creating and processing of current and new customer invoices as per contract schedules, payment collections. Updating and maintenance of tracking spreadsheets/database

  • Project setup – Maintain electronic file structure and organization of project information on Server including Document Management and Project Information databases

  • Preparation of reports, reviewing contracts, data entry

  • General administrative support – correspondence, transmittals, meeting minutes, documentation, filing

  • Engage the O&M Team in process improvement and documentation. Support development of forms and procedures

  • Utilize the following software – SharePoint, Newforma, Cognos Reporting, Microsoft Office, and other various NORESCO programs

  • Other duties may be assigned by the Manager of Administration O&M as required

Qualification:

The following skills and attributes are preferred for this position:

  • Self-driven and motivated individual who will need little direction in driving responsibilities to completion

  • Excellent verbal and written skills are required

  • Ability to pay close attention to detail, proofread documents for language, spelling, calculation errors etc.

  • Proficient in Microsoft Office is required, especially in Excel, Work, Outlook, and PowerPoint, graphics, data manipulation and search software; Considerable word processing, typing, and electronic filing skills are a must

  • Ability in preparing and working with general and complex Excel spreadsheets/workbooks

  • Strong analytical skills

  • Excellent time management and organizational skills

  • Knowledge of accounting and budget processes or legal background is a plus

  • Ability to work under time constraints and pressure with a variety of personalities and team members

Education:

  • Bachelor’s degree preferred however additional experience can be substituted
